About the job
As a Project Coordinator, you’ll play an important role in supporting our After Sales and Technical Training teams while helping deliver a great experience for our customers and service provider network. You’ll assist customers and service providers with service parts orders, provide support through our service call queue, and contribute to key call center performance goals. You’ll also help keep our technical training programs running smoothly by maintaining training rosters, coordinating schedules, ordering lunches, and assisting with training setup and breakdown.

Essential Duties and Responsibilities
- Coordinate and manage assigned sales orders and projects throughout their lifecycle, ensuring milestones are met on time and within scope.
- Communicate with internal teams and customers to schedule surveys, equipment startups, installations, and other project-related activities.
- Track project and sales order progress, providing timely updates, reports, and insights to stakeholders.
- Support quoting, order processing, and distribution scheduling, collaborating effectively with cross-functional teams and external partners.
- Maintain accurate project and order documentation, including purchase orders, credit information, billing, and customer records.
- Facilitate product authorizations, shipping, returns, and related logistics as required.
- Serve as a primary contact for customer and stakeholder inquiries, ensuring clear and professional communication via phone, email, or meetings.
- Assist with occasional after-hours support to meet critical project timelines.
- Participate in the service call queue and handle incoming Parts calls to support call volume, service levels, and other established call center KPIs.
- Provide administrative and logistical support for technical training programs, including scheduling training sessions, maintaining and updating training rosters, and communicating training details to participants and internal stakeholders.
- Coordinate meal and lunch orders for onsite training sessions and assist with setup and cleanup to help ensure a positive training experience.
Knowledge, Skills, and Abilities
- High School Diploma/GED required.
- Minimum 1 year of related experience in project coordination, customer support, or order management.
- Previous experience within a call center environment is preferred.
